Enter Up To 5 Types Of Leave To Suit Your Company
The template by default supports 5 types of categorizing your leave. Since different companies may have different names and different number of leave types, the template supports customizing them.
How to handle half-day leaves
You can see that there is an option to assign Day Value to each leave type. This setting is present to handle partial days of leave. For example, I have entered 0.5 for Half Day leave type. That means that when an employee takes Half Day leave, template will add 0.5 to leave taken total and reduces the Worked days by 0.5.
If your company allows 2 hours leave in an 8 hour workday setup, that would be 0.25 day. You can create a leave type and enter 0.25 as Day Value.

Vacation Tracking And Leave Accrual For New Employees
Contracts for new employees usually state how much sick leave or vacation the employee starts with. Also, some leave might not start to accrue for 6 months or a year or whatever. To handle these cases, you can just delete the formulas in the Earned columns for the periods where the benefits should not accrue.

Till now, she used a simple Gantt chart in Excel but wanted something better with more functionalities.
So, I created this Excel Leave Tracker Template to make leaves management easy and track monthly and annual leaves by her team members.

Define How Benefits Are Accrued
Besides the obvious Company Name and Employee Name fields, there are a few other values you’ll need to enter.
Weekly Accrual worksheet:
- Pay Period Starting: Enter the date of the start of the first pay period .
- Weeks Per Pay Period: For bi-weekly pay periods, enter a 2.
- Accrued Every N Periods& Accrual Starting Period: If the employee vacation accrual period is identical to the pay period, then these values should probably all be 1 . However, if your policy states that employee vacation is accrued every 4 weeks, but you have a bi-weekly pay period, you’ll need to modify these values.
Monthly Accrual worksheet: This one is pretty simple. Just enter the date of the start of your fiscal year and choose the pay period.
Hourly Accrual worksheet: In this version, you enter rates representing how many vacation hours are earned for each hour of work.
