Leave No Room For Questions

Its so important to be detailed with your instructions when it comes to check-in at your vacation rental property! The more details you provide, the less inclined your guests will be to ask the obvious questions. Keep a document of frequently asked questions and every time you get a new question, add it to that document. Then send that to your guests as part of their welcome packet as part of your vacation rental check-in procedure.

Make sure to send them an email before their check-in time with all of the information theyll need to get settled in. Provide them with any directions or details on how to get to your vacation rental if it can be hard to find. Also, include FAQs or in-depth descriptions of how to access the property so there is no confusion.

Leave A Print Version Of The Manual At Your Airbnb Property

There is definitely value in having both print and digital pdf versions of your house manual available to guests.

The pdf version can be sent to guests to download and read on their smartphone or laptop. Meanwhile, the print version can be present at the property for guests to refer to during their stay.

It may cost a bit more, but it is well worth it to pay extra to make sure your printed version is of good quality too, and laminated and bound for durability.

Things You Should Include In Your Airbnb Checkout Instructions

Early Check In and Late Check Out Requests on Airbnb
  • Checkout Time This is absolutely 100% paramount to a great Airbnb experience, for host and guest alike. You need time to clean up before your next guest arrives, and if your previous guest isnt checking out on time, you wont have enough time to do everything that you need to do. Include a clear checkout time and youll have no problems. Likewise, your guest , doesnt want to overstay his or her welcome. Sometimes he or she wants to know when to leave.
  • Bed Sheets Tell your guests where they should put the bedsheets and linens before they leave. Strip them and leave them on the bed, put them in the bathtub or shower, et cetera. Or, if you think this is too much, dont tell them anything and strip the bed yourself.
  • Dishes Remind them to put their dishes in the dishwasher
  • Lights and AC Also, remind them to turn off the lights and AC. You dont want unnecessary energy costs to stack up and eat away at your profits.
  • Windows Remind your guests to close all the windows.
  • The Key and the Door Tell your guests to lock the door, and then let them know where they should leave the key. Maybe you want them to put the key back in the lockbox, for instance.
  • Log off accounts on the SmartTV .
  • Check under the beds for any belongings that might have found their way under there.

Rule #: Key Replacement Fees Strictly Enforced

Ever lost a key at a hotel room? You bet they didnt replace it for free! Neither should you at your vacation rental. If you have to use keys at your property at all, make it very clear that they must be returned at the end of the booking time period of the guest will incur a fee.

Better yet, go keyless. An electronic code lock offers guests an easy way to enter the property and eliminates the possibility of lost keys. You can change the code in between rentals and dont have to worry about copies of keys being made.

Be On The Same Page As Your Guests

At the end of the day, even if a lamp is broken or key lost, you want your guests to have the best experience possible. Even with mishaps, you might find yourself happily hosting these guests again. Or they might even leave a pleasant review if everyone is on the same page about property expectations.

When guests know what is expected of them and what they can expect from you, theres a lot more clarity and comfort. Eliminate the need for an explanation by having a thorough list of house rules in place. Guests can carry on enjoying their vacation while you can rest easy knowing that your property is in good, knowledgeable hands.

I agree. If they’re paying a cleaning fee, I don’t think they should have to do much. I ask that they leave the slept-in beds unmade, turn down the heat if they turned it up, and make sure the doors are locked. I say that doing dishes is appreciated but not required . PS: I don’t have a dishwasher.

Check-in 3:00pm/ Check-out 11AM . I self manage a handful so it gives my maids enough time to clean the entire premises during the same day check-in bookings .I like to make it as easy and painless as possible for my guests, so my only instructions are to lock up on the way out, PLEASE do not forget the pool key, and have a safe flight/ travels back home.

All my units have keypad door entrance, so it makes it very easy for them to get in and out at their own convenience. I do not like the idea of giving checkout instructions . Guests are already paying a rate that includes the cleaning fee, and should be treated with 5 star service the entire stay.

I treat each and every one of my units as its own mini resort. The idea is to get the best possible review, as every review brings several more bookings .Then my maids have a system down, they change the sheets . Start the dishwasher, restock the unit, mop the floors, clean all countertops, bathrooms, throw away leftover condiments in fridge, vacuum, leave my customized thank you package for the next guest and leave). Usually can be out within 2 hours.I hope this helps!

I would second the idea of not requiring too much of guests, especially if they pay a cleaning fee. We just ask all the doors/windows to be locked .

Since guests get reviewed on cleanliness, most people do things like dishes, even sweeping. I find that if you put cleaning materials easily accessible in the unit, guests will even vacuum. This saves us a ton of tim because as of right now we are cleaning all our properties ourselves. We do outsource laundry, so a company will come and pick everything up, wash and fold it once or twice a week for $1.75 a pound. This helps us tremendously as we have over 20 beds, and when we did the math it is actually cheaper than doing it ourselves.

Rule #1: Excessive Noise Not Permitted

Its a good idea to set reasonable noise making hours, for example from 9am until 9pm. If it helps, put the blame on neighbors and state that they dont appreciate being disturbed before or after these set times. It never hurts to reiterate that parties and large gatherings are prohibited as well.

    Airbnb Linens & Towels

    1 Page Welcome Guide AirBnB

I ask guests to leave all linens on the bed, so that the cleaning service can quickly strip them and get them washed. You can have your guests leave their wet towels in whatever spot you would like to designate. I use the bathtub. That way, the moisture from the towels is not soaking into the floor, as it might do through a laundry basket.

Rule #1: Check In And Check Out Times Can Be Changed

That being said, things do happen and sometimes guests are more than willing to pay the extra fees if it means they can begin their vacation earlier . Just make sure you clarify how the fee is charged and request that guests notify you well in advance if they anticipate needing a different schedule.

Inspecting The Property And Returning The Deposit

Go over every part of your home which the departing guests have had access to. If there are any major damages or imperfections , calculate how much it will cost to repair it and subtract the amount from their deposit. If there is no damage, return the full amount as soon as possible. If your guest is expecting the deposit via bank transfer, let them know how long it will take.

This is also a great time to remind your guests that you would love them to write a review on your website or on one of the listing sites!

    The Vacation Rental Welcome Book

I am about to share my ignorance.

Back in school, oh about 40 years ago , I prided myself on being pretty good at geography. I knew the capital cities of most countries in the world, could recite every state in the US and province in Canada, and I was great at playing Risk and yes, there is a geographical component. But.I learned something last week that I am really holding myself to account for sharingI did not know there were ski resorts in Australia.

My head is bowed in shame.

Even at the age when I should have known everything as most teenagers do now if someone had suggested that winter down-under included the white stuff, I would have given them that all-knowing teenage look and moved off in disdain.

    Now I stand corrected.

Last week I got an email from Sonja Schatzle who runs Pender Lea Alpine Guest Accommodation in the Snowy Mountains of New South Wales. Who knew?

Probably most people, and I am just the ignorant one.

But never mind all that. Sonja had a question about whether there were any posts in the archives about creating a Welcome Book. I really thought I had one but searching yielded nothing so here we are.a brand shiny new guide to creating a Welcome Book.
